Where individual gains stop
Training teams saves everyone time on their own tasks. But processing a complaint, responding to a call for tenders, onboarding a new employee, or closing the books monthly don't depend on any one person in particular: they depend on a series of steps, checks, and transmissions that no one sees in their entirety. As long as this process isn't reviewed, AI accelerates steps that then wait for the next one, and the overall timeframe remains unchanged.

Mapping the actual process
Start from what is happening, not from the written procedure.
- Observation and interviews with the people who carry out each step, including the workarounds.
- Initial measurement: end-to-end delay, processing time, retakes, volumes, irritants.
- Inventory of tools, data handled and validation rules in place.
- Deliverable: the process map as it is, with its reference measurement.
Design the target process
Decide, step by step, who does what.
- Each step is classified into a workshop with the team, according to four possible outcomes.
- Human validation points, authorized data, traceability: the framework established before construction.
- What changes for roles: who supervises the agent, who handles exceptions, who is responsible for quality.
- Deliverable: the target process and the specification of the agents and coworks to be built.
Build and rotate
Put the target process into operation under real-world conditions.
- Agents and coworks built within your tools (Copilot and Copilot Studio, Claude, ChatGPT, Gemini, Mistral, Power Automate depending on your equipment), with our formats Agent Studio et Cowork Studio if necessary.
- Team trained on the new process and on the supervision of agents.
- Four weeks of actual operation, weekly update, corrections made as needed.
- Deliverable: the process in operation and its adjustment log.
Measure and generalize
Prove the gain and prepare the next process.
- Measurement after: delay, time, quality, rework, satisfaction of teams and beneficiaries, compared to the reference.
- Decision to generalize or adjust, presented to management with the figures.
- Procedure, agent's and manager's records, indicators monitored over time.
- Deliverable: the numerical report and the replication kit for the following processes.

FAQ
Which process should be chosen first?
A frequent, measurable process that irritates teams and that the manager wants to get involved in. Customer complaints, responding to calls for tenders, processing HR requests, preparing committees, closing, onboarding: good candidates are recognized by the number of emails and spreadsheets they generate.
Do we need a dedicated automation tool?
Rarely initially. Most target processes work with the agents and workflows available in your environment (Copilot Studio and Power Automate, Claude projects, ChatGPT agents, Gemini). If a dedicated component is needed, we'll include it in the specification and help you choose, without any vendor ties.
Who participates ?
The process manager, three to six people who execute it daily, an IT contact for access and tools, and the head of the relevant department for decision-making. Expect two half-day workshops, a training session, and a weekly thirty-minute meeting during the implementation phase.
What happens to the team when an agent takes on part of the tasks?
This is the issue addressed from step 2 onwards: for each delegated step, a decision is made regarding supervision, handling exceptions, and quality control. The time freed up is explicitly reallocated, generally towards complex cases and relationships with beneficiaries. How long does the mission take?
The entire mission takes eight weeks, including four weeks of actual operation of the target process. The process workshop takes place over two days, spread across two weeks.
How much does it cost ?
The two-day process workshop is offered at a price between €4,000 and €6,000 excluding VAT. The full eight-week project starts at €16,000 excluding VAT, excluding Studio formats if the number of agents to be developed warrants it.
