Why train your purchasing teams in generative AI?
Purchasing teams deal with numerous documents and scattered pieces of information. The challenge is to accelerate their preparation without automating judgment or exposing sensitive business data.
Offers take a long time to compare
Supplier files require a methodical reading to identify differences, reservations and points to be explored further.
A scattered watch
Supplier news, market developments and sector risks must be synthesized before they can be used.
Demanding negotiations to prepare
Arguments, scenarios and concessions must be structured based on specific objectives and verified information.
Confidential documents
Pricing, contracts, negotiation strategies and supplier data require a strict framework for the use of AI tools.
What your purchasing teams will be able to do upon exit
Six objectives, assessed during the session on the files that your teams bring.
- Draft specifications or a consultation document based on an internal statement of requirements, then verify its completeness before sending it to suppliers
- Structure the analysis of a set of responses to a consultation and draw up a comparative summary using constant criteria, including discrepancies and reservations
- Develop a multi-criteria qualification and scoring grid, with explicit weightings and a written justification for each score.
- Tailoring a negotiation strategy to a specific supplier: objectives, contingency plans, concessions plan, and responses to objections
- Recognize what an AI response cannot determine about a supplier, capacity, or price, and organize verification before any decision is made.
- Apply your internal usage rules, the GDPR, and Section 4 of the AI Act to your own records

How generative AI is transforming purchasing
Generative AI does not replace the buyer's decision. It primarily accelerates the preparation, analysis, and synthesis tasks that currently consume a significant amount of time, while leaving the teams responsible for supplier selection, negotiation, and risk management.
Accelerate sourcing and qualification
AI can help structure a need, prepare search criteria, synthesize public information on suppliers, and build an initial qualification grid. It allows for a faster transition from a volume of scattered information to an analysis that can be used by the purchasing team.
Compare offers using a consistent method
For large files, AI can extract comparable elements, identify discrepancies, pinpoint reservations, and prepare a summary based on predefined criteria. It assists the analysis but should not automatically select a supplier or replace professional evaluation.
Better prepare for negotiations
Based on objectives, constraints, and verified information, teams can use AI to build scenarios, prepare arguments, anticipate objections, and simulate different exchanges. The benefit lies in the quality of the preparation, not in automating the supplier relationship.
Securing usage and data
Pricing, contracts, negotiation strategies, and supplier data are often sensitive. Their use must therefore be governed by internal rules, GDPR, the AI Act, and tools approved by the IT department. The training teaches participants to distinguish what can be entrusted to AI from what must remain in a protected environment.
The program, hour by hour
A balance designed to understand, practice and then secure uses in the work environment.
Schedule for the half-day (3 hours 30 minutes)
- 0 p.m. to 00 p.m. Fundamentals of generative AI and hands-on experience with the tool validated by your CIO, thesis, personalized instructions, reasoning and in-depth research, with an initial critical reading of what a model can or cannot say about a supplier market.
- 0 p.m. to 20 p.m. : prompting method applied to a purchasing file, framing a need, setting evaluation criteria in advance, imposing a comparison format and requiring sources.
- 0 p.m. to 40 p.m. : workshop on your files, analysis of a file of responses to consultation, extraction of comparable elements, weighted scoring grid, identification of discrepancies and reservations, then summary of recommendations for the commitment committee.
- 2 p.m. to 40 p.m. : negotiation preparation workshop, numerical argument, scenarios and concession plan, handling of objections and simulation of a supplier exchange, then construction of a monitoring agent on risks or contractual deadlines.
- 3 p.m. to 10 p.m. : biases and limitations of models, confidentiality of prices, contracts and negotiation strategies, GDPR, Article 4 of the AI Act and drafting of rules of use for the purchasing team.
The 1 hour 30 minute format follows the same tight structure: 20 minutes of fundamentals, 55 minutes of workshop on two chosen cases, 15 minutes of usage framework.

Your data does not leave your environment
Supplier conditions, price lists, current calls for tenders: your contractual information does not leave your environment.
The exercises are based on your real-world situations, never on your actual data. We develop the practical cases with your business expert using anonymized or reconstructed examples, and we work within the environment approved by your IT department: Copilot Chat, Copilot M365, ChatGPT (Enterprise or Azure OpenAI), Gemini, Claude, Mistral, or a locally installed open-source solution for the most sensitive data. No documents, files, or personally identifiable information are transmitted to a public model during the session. The final part of the training is dedicated to GDPR, the AI Act, and the development of your internal usage rules, ensuring that each participant leaves with a clear understanding of what they can and cannot submit to an AI tool.

Answers to key questions about the level, tools, personalization and modalities of the training.
Do you need to already know how to use ChatGPT or Copilot?
No. The content is adapted to the level of the participants, from the discovery of principles to the construction of more advanced working methods.
Can the training use our internal tool?
Yes. The session can be organized with the tool approved by your IT department, including Copilot, ChatGPT (Enterprise or Azure OpenAI), Gemini, Claude, Mistral or a local solution.
Can we work on our own use cases?
Yes. Priority situations are selected with your contact person before the session, then transformed into adapted and safe exercises.
What is the difference between the 1 hour 30 minute format and the half-day format?
The 1.5-hour format focuses on familiarization and includes some demonstrations. The half-day format allows for more hands-on practice, individualized feedback, and work on your specific use cases.
Can the training be funded?
Our training courses are eligible for OPCO and ESF+ funding. NextStart.AI helps you identify the necessary elements for your application.
Can tenders be analyzed during training?
Yes, with anonymized or reconstructed documents and only in an environment validated by your organization.
Can AI automatically select a supplier?
No. It can help to compare information according to explicit criteria, but the decision remains documented and made by purchasing professionals.
How much does the training cost?
The price depends on the chosen format, the number of participants, and the number of sessions. We will send you a quote within 24 business hours of our initial discussion. Price ranges for standard formats can be found on the Corporate AI Training page.
How soon can a session be organized?
Allow one to two weeks between your agreement and the session, the time needed to coordinate with your purchasing contact, personalize the exercises and validate the schedule.
What deliverables do the participants receive?
A booklet of about fifty pages, the prompts and agents built during the workshop on your own cases, and the rules of use written collectively at the end of the session.
